Overview
We are looking for a highly organized and proactive professional to oversee the internal company experience and support our executives, with most executive support focused on assisting the COO in operational needs. This role is a blend of executive assistance, employee experience, and occasional client experience support. As a fast-growing tech company, we all wear many hats to support the needs of the business, so flexibility and adaptability are key. The right person will be detail-oriented, people-focused, and passionate about creating an excellent work environment for our team.
This is an entry-level role with opportunity for growth and added responsibility as the company continues to scale.
Responsibilities
Executive Support
Provide executive assistance primarily to the COO, including calendar management, meeting preparation, travel coordination, and handling day-to-day operational and administrative needs.
Assist with special projects, research potential products/vendors, and follow-up items as requested.
Manage office-related tasks such as handling invoices, lease renewals, coordinating maintenance issues, and ordering supplies.
Employee Experience
Act as the go-to person for employee needs, ensuring a positive and engaging workplace environment.
Coordinate onboarding and offboarding processes.
Support team culture initiatives, including events, celebrations, and recognition programs.
Help maintain internal communication and documentation.
Client Experience (as needed)
Assist client-facing teams with occasional tasks to ensure smooth delivery and communication.
Help gather and organize client feedback when needed.
Qualifications
Proven experience in executive assistance, employee experience, operations, or a similar role (entry-level candidates with strong organizational skills and willingness to learn will also be considered).
Strong organizational and multitasking skills.
Excellent communication skills (written and verbal).
Proactive, resourceful, and comfortable working in a fast-paced environment.
Ability to handle confidential information with discretion.
A people-first mindset with a passion for both supporting leadership and improving the employee experience.
